We require all third-party service providers to process personal data only as instructed by us and in compliance with applicable data protection laws. We do not sell your personal information to any third party.
6. Uploaded Files and Project Materials
When you submit audio files, sheet music, manuscripts, or other project materials to Music Notation Hub Inc. for the purpose of receiving our services, the following applies:
Collection: We collect and store uploaded files solely for the purpose of completing the requested service. This may include audio recordings, MIDI files, scanned manuscripts, reference scores, lyrics, and any other materials you provide.
Use: Uploaded files are used only for completing your project and for quality assurance purposes. Files are not shared with third parties outside of the project scope, except where necessary to engage trusted contractors or subcontractors who assist in delivering the service, and who are bound by confidentiality obligations.
Retention: Project files (including audio, sheet music, and working files) are retained for up to 12 months after project completion to facilitate revisions, follow-up requests, or dispute resolution. After this period, files may be deleted from our active systems. Backup copies may persist in encrypted backups for a reasonable additional period in accordance with our data retention practices.
Deletion: You may request the deletion of your uploaded files at any time by contacting us at [email protected]. We will make reasonable efforts to delete your files from our active systems within 30 days of your request. Please note that deletion from encrypted backups may take longer due to backup rotation schedules.
Confidentiality: All uploaded files are treated as confidential by default. For projects covered by a formal Non-Disclosure Agreement (NDA), additional confidentiality protections apply as specified in the agreement.
Portfolio use: Music Notation Hub Inc. may use anonymized excerpts of completed work (such as sample score images) for portfolio and promotional purposes, unless the Client has opted out in writing or a confidentiality agreement is in place.
7. Information Protection
We will only process personal data for the purposes for which it was collected and as set out above. Access to personal data is limited to Music Notation Hub's team and authorized contractors who require it to perform their duties.
Your personal information is never shared with outside parties without your permission, except where necessary to provide services or work with trusted service providers acting on our behalf (see Section 5).
Our website uses secure socket layer ("SSL") encryption to protect your personal information whenever it is collected or transmitted.
8. International Data Transfers
Music Notation Hub Inc. is based in Canada. If you are located outside of Canada (including in the EEA, the UK, or Switzerland), your personal data may be transferred to and processed in Canada.

We may need to retain certain information for longer periods for record-keeping, reporting in accordance with applicable law, enforcement of legal rights, or fraud prevention. Residual anonymous and aggregate information, neither of which identifies you (directly or indirectly), may be stored indefinitely.
